The two pricing models, and the trap

All-employee pricing is the cheaper per-user rate, and it comes with a condition: you must license every employee in the organisation, not just the ones who will use the software. For a 30-person company where 30 people will use something in the suite, that is excellent value. For a 300-person manufacturer where 25 office staff use software and 275 work on the shop floor, it is not — and this is exactly where companies get the maths wrong.

Flexible-user pricing costs more per user but only covers named users. It is the right model when the software-using population is a minority of headcount.

Do this calculation first: count total employees, count actual software users, and price both models. The answer is frequently counter-intuitive.

When the bundle wins

Price your realistic alternative. A typical growing Indian SMB might otherwise buy:

Add those four or five subscriptions at the editions you actually need, including extra users, and compare against Zoho One at your user count. In most cases the bundle is cheaper at three products and clearly cheaper at four — and it includes another forty applications you may grow into.

What Zoho One does not solve

  • Payroll is region-specific. Zoho Payroll for India is included in the suite in most configurations, but confirm it for your region and plan rather than assuming.
  • Edition levels inside the bundle. Zoho One includes particular editions of each app. If you need the top edition of CRM specifically, check whether the bundle's included edition covers it or whether you need an upgrade.
  • It is still an implementation. Forty-five applications do not configure themselves. Pick the three or four you will actually deploy, deploy them properly, and treat the rest as optionality.
  • Lock-in is real. Putting sales, finance, HR and support on one vendor is efficient and concentrates risk. That is a reasonable trade for most SMBs, but make it knowingly.

Comparing against non-Zoho stacks

The honest comparison is not Zoho One against a rival bundle — few exist at that breadth and price — but against a best-of-breed stack. Best-of-breed usually wins on individual product depth: Freshdesk or Freshsales for support and sales, TallyPrime for Indian accounting depth, greytHR or Keka HR for payroll compliance. Zoho One wins on cost, single vendor, single login and native integration between modules.

A pragmatic pattern used by many Indian companies: Zoho One for the general stack, plus one specialist product where depth genuinely matters — most often payroll or accounting — exported or integrated to Zoho Books.
