CA software compared for 2026: Winman CA-ERP, Genius, KDK Spectrum and Saral, with Income-tax Act, 2025 readiness, prices and a firm cost model.

Software covered in this blog

A CA firm filing more than a few hundred income tax returns a year should standardise on one desktop or hybrid tax suite that combines ITR preparation, computation, TDS statements and, ideally, audit reports and reconciliation. In India, that usually means shortlisting Winman CA-ERP, SAG Infotech's Genius suite, KDK's Spectrum and Saral TaxOffice. Choose on three tests: how quickly the software moved to the Income-tax Act, 2025 forms and computations; how much client data it pulls in automatically; and how it performs in the last ten days before the ITR due date. Solo practitioners and firms serving mostly salaried clients may be better off with a cloud filing product. Individuals filing their own simple returns do not need professional "CA software" at all.

Executive summary

  • 2026-27 is a transition year for every tax product. The Income Tax Department confirms that events on or after 1 April 2026 fall under the Income-tax Act, 2025 (Income Tax Department). Firms will prepare returns under the 1961 Act for earlier years and deal with new-Act forms for current transactions, sometimes for the same client.
  • Pricing transparency is low. Of the professional suites we checked, only SAG Infotech published a figure: the Genius suite at "INR 15,000*" with unlimited e-filings (SAG Infotech). KDK and Winman list products but no prices on their websites.
  • Vendors compete on volume claims. Winman's site says it is used by all Big 4 audit firms and that 77 lakh ITRs are filed annually with its software (Winman). These are vendor claims; we have not independently verified them.
  • Consumer filing tools are a different category. Quicko's plans (free, ₹999, ₹1,499) are priced per individual filing (Quicko). They suit individuals and small practices with few clients, not firm-wide bulk filing.
  • Staff time, not licence cost, drives total cost. In our illustrative model, cutting 15 minutes per return across 1,500 returns saves 375 staff hours in a season.

Market context

A CA firm's income tax workload is concentrated, repetitive and deadline-bound. Most individual and non-audit returns fall due in one window, and audit-case returns in another. In those weeks a firm may handle hundreds of returns, each needing:

  • data collection (salary details, capital gains statements, bank interest, rent, business books)
  • reconciliation with pre-filled information and tax credit statements
  • computation, including regime comparisons for individuals
  • ITR form preparation and validation
  • e-verification or signing, then acknowledgement tracking
  • post-filing work: intimations, rectifications, notices

The legal backdrop has changed. The Income Tax Department's guidance says that where "the earlier event occurs on or after 1st April, 2026, the provisions of the Income Tax Act, 2025 shall be applicable." TDS provisions now sit in Section 393 of the new Act (Income Tax Department). Forms have been renumbered too. The Department's user manual describes Form No. 138 as the quarterly TDS statement "earlier known as Form 24Q" (Form 138 user manual).

For a CA firm this means two parallel rulebooks for some time: returns and assessments for earlier years under the 1961 Act, and current-year compliance under the 2025 Act. Software must keep both correct. A suite that forces staff to remember which section number applies to which year is a source of errors.

Why integrated suites dominate. Firms use one vendor for ITR, TDS, and often GST and audit reports, because client masters, PANs, and assessee histories are shared. Re-entering a client's details in three products triples the chance of a typo. That is why vendors bundle: KDK lists Spectrum as a "Tax Software Package - TDS, ITR" alongside Express GST, Express TDS, Express ITR and eXBace for XBRL (KDK). Winman lists CA-ERP, GST and TDS products (Winman).

Interpreting the market

  • Desktop suites (Winman, Genius, KDK Spectrum, Saral) are built for firms: one licence, many clients, bulk operations. They are usually sold through annual licences and renewals, often via partners.
  • Cloud versions are expanding. KDK lists Spectrum Cloud and Express ITR, which help firms with staff working from several locations.
  • Consumer filing platforms (Quicko, ClearTax ITR) price per filing. A firm filing for many clients will find per-return pricing expensive at volume, but for a practice with a few dozen salaried clients the simplicity may outweigh that.

What the model shows

  • The time saving (₹1,87,500 in this example) dwarfs typical licence prices. Pick software on how much staff time it saves, not only on list price.
  • A suite with a higher quote still wins if it saves more time per return. Option B beats Option A whenever Q is less than ₹15,000 plus the value of any extra time saved.
  • Per-return consumer pricing is not designed for firm-scale filing. Option C is shown only to explain why firms use professional suites.

A demo script for CA firms

Vendor demos tend to show the happy path. Bring your own scenarios and ask each vendor to run them live. Score each on a simple scale: done in the demo, done with workarounds, or not possible.

Scenario 1: Salaried client with two employers

  • Import salary details for both employers.
  • Compare regimes and show the computation.
  • Reconcile tax credits and flag any mismatch before filing.

Scenario 2: Capital gains

  • Import a broker's capital gains statement with a few hundred transactions.
  • Show how the software classifies holding periods and handles set-off.

Scenario 3: Small business on presumptive income

  • Enter turnover, digital receipts and cash receipts.
  • Show validations and the resulting ITR form.

Scenario 4: Audit case

  • Import books from Tally.
  • Show the tax audit report workflow and how data flows to the return.

Scenario 5: Transition year

  • Open a client's earlier-year return under the Income-tax Act, 1961 and a current-year TDS statement under the Income-tax Act, 2025.
  • Show that section references, forms and validations are correct in both.

Scenario 6: Bulk operations

  • Select 50 computed returns and file them in one batch.
  • Download acknowledgements in bulk and show status tracking.

Scenario 7: After filing

  • Import an intimation, compare it with the filed return, and prepare a rectification.

What to watch during the demo

  • How many screens a routine task needs. Multiply by the number of returns you file.
  • Whether imports are clean. Manual fixes after import are hidden labour.
  • Speed with real data volumes. A demo database of ten clients hides performance problems.
  • Who presents. If only sales staff can answer, ask for a session with the support team you will call in peak season.

Record the results in a simple scoring sheet and weight them using the evaluation framework above.

Implementation roadmap

Months before the season (weeks 1–3): Select

  • Ask shortlisted vendors for a demo covering an old-Act return for an earlier year and a current-year computation.
  • Test bulk import on 20 real (anonymised) client files.
  • Confirm licence terms: number of PANs, users, machines, and the renewal price.

Weeks 3–6: Migrate client masters

  • Import client masters, PANs, addresses, bank accounts and previous-year data.
  • Standardise naming and client codes. De-duplicate PANs.

Weeks 6–8: Train and pilot

  • Train staff on import, computation, validation and filing workflows.
  • File a pilot batch of simple returns early in the season.

During the season

  • Track returns by status: documents pending, computed, reviewed, filed, verified.
  • Escalate validation failures daily.

After the season (weeks 1–2)

  • Review intimations and rectifications.
  • Record hours per return by complexity band to inform next year's pricing and staffing.

Licensing questions that change the price

Two quotes with the same headline price can differ widely in what a firm actually pays. Ask every vendor these questions in writing:

  • What is counted? Per PAN, per return, per user, per machine, or unlimited? SAG Infotech's page mentions "Unlimited e-Filings" for Genius; confirm the equivalent term for every product.
  • What does renewal cost? Year 2 is often priced differently from year 1. Ask for the renewal price now.
  • Are statutory updates included? New forms and schema changes under the Income-tax Act, 2025 should be covered by the licence you pay for, not sold as an upgrade.
  • Which modules are bundled? ITR, TDS, audit reports, balance sheet and XBRL may be separate licences.
  • How many installations? Desktop suites may limit installations per licence, which matters when staff work from home.
  • What happens if we stop paying? Can you still open and print past returns and client data?

A firm that compares quotes on these points avoids surprises in the second year.

Risks and compliance checklist

  • Correct Act and form by period. Events on or after 1 April 2026 follow the Income-tax Act, 2025 (Income Tax Department).
  • Client consent and authorisation documented before filing on a client's behalf.
  • Data protection. Client PANs, bank details and income data are sensitive. Restrict access by role and encrypt laptops.
  • Backups of desktop databases, stored off-site and tested.
  • Review step. A second person reviews every computation above a set income or complexity threshold.
  • E-verification tracking. Returns are not complete until verified. Track pending verifications.
  • Licence compliance. Stay within PAN and user limits in your licence.
  • Vendor update cadence. Confirm the vendor releases utility and schema updates promptly during the season.
  • Exit plan. Confirm client data can be exported if you change vendors.

  • Large firm, many staff, audit clients? Shortlist integrated suites such as Winman CA-ERP, KDK Spectrum (including Spectrum Cloud) and SAG Infotech Genius, and decide on demos using your own client files.
  • Mid-size firm on a tight budget? Start with the suite that publishes a price, such as Genius at INR 15,000*, and confirm what is included.
  • Distributed team or work from home? Prioritise cloud editions and role-based access.
  • Small practice, mostly salaried clients? A cloud filing platform such as Quicko may be simpler, though check per-return costs at your volume.
  • Heavy TDS work too? Bundle TDS and ITR from one vendor so client masters stay in sync.
