Apartment and housing society management software gives a residents' welfare association (RWA) or co-operative housing society one system for maintenance billing and accounting, gate and visitor management, helpdesk complaints, amenity bookings, notices and resident communication. In India the main choice is between app-led platforms that started with gate security and resident engagement (MyGate, NoBrokerHood) and accounting-led platforms that started with society billing, bye-law reports and audits (ADDA, ApnaComplex, SocietyRun). Pick based on the committee's biggest pain: if dues collection and audit-ready books are the problem, lead with accounting depth. If security and visitor control are the problem, lead with the gate module. Almost all vendors quote per unit or flat, and resident personal data, including visitor photos and phone numbers, now falls under India's Digital Personal Data Protection Act.

Executive summary

  • Two product lineages, different strengths. Gate-first apps are strong on visitor, delivery and staff entry. Accounting-first platforms are strong on maintenance billing, receivables, bye-law reports and audit. Most now offer both, but depth still differs.
  • Pricing is per unit and rarely published. ADDA shows "pricing on request" by package. ApnaComplex says it is sold "as an annual subscription with unit based pricing". None of the vendors we checked showed per-flat amounts on the pages we could access.
  • Data protection is a committee responsibility. Visitor logs, resident contacts, vehicle numbers and CCTV integrations are personal data. The society is accountable, so choose vendors that document compliance with the DPDP Act, 2023.
  • Gate hardware and guard behaviour decide success. Apps fail when guards bypass them. Budget for tablets, connectivity and training.
  • Plan for a clean opening balance. Migrating arrears, sinking fund and repair fund balances accurately is the single most important accounting step.

Market context

India's urban housing stock is increasingly organised as gated apartment complexes and townships managed by elected committees, often volunteers, who handle large amounts of residents' money. Governance rules come from state co-operative societies laws and model bye-laws for co-operative housing societies, or from apartment ownership laws and association bye-laws. New projects pass through state RERA registration under the Real Estate (Regulation and Development) Act, 2016. The central RERA portal lists mandatory registration for projects "above 500 square meters and above 8 units" (rera.mohua.gov.in). Once the developer hands over, the association or society typically takes charge of common-area maintenance, funds and records, which is when software decisions are made.

Vendor disclosures show the category's reach. ADDA states on its packages page that it serves "25,000+ Societies in India" and has operated "since 2009" (ADDA packages), a company-reported figure. The same page lists packages named Connect, Manage and more, with "pricing on request". ApnaComplex (by ANACITY) describes its pricing as "an annual subscription with unit based Pricing", where "a Unit is a single flat / plot / villa / shop", and lists Free, Standard Security, Standard Management, Standard Accounting and Ultimate plans without published amounts (ApnaComplex pricing).

Two regulatory threads matter for software:

  1. Data protection. The Digital Personal Data Protection Act, 2023 applies to digital personal data such as resident directories, visitor entries, domestic staff records and photos. ADDA publishes a DPDP guide for housing societies on its website, a sign that vendors expect committees to ask.
  2. Tax and audit. Societies may have GST and income-tax questions on maintenance charges, interest income and non-member receipts. They also face statutory audits under state co-operative law. Accounting software must produce member ledgers, receipts and financial statements an auditor accepts. Take advice from your society's auditor or tax consultant.

What the table means for buyers:

  • Gate-first (MyGate, NoBrokerHood): strong resident familiarity and delivery handling. Check accounting depth against your auditor's needs and whether the resident app shows advertising.
  • Accounting-first (ADDA, ApnaComplex, SocietyRun): stronger billing and audit reports. Check the guard app's speed at a busy gate.
  • Integrated platforms reduce double entry. For example, a visitor pass for a vendor can link to a work order and an expense.

Sensitivity: at a per-unit subscription of ₹10/month (a placeholder, not a quote), the cost is ₹48,000/year. At ₹30/month it is ₹1,44,000/year. Either way, the collection improvement in this scenario is larger. If the society does not enforce reminders and interest on arrears, that benefit disappears.

Risks and compliance checklist

  • General body mandate: make sure the purchase and data-sharing are approved as your bye-laws require.
  • DPDP notice and consent: tell residents, tenants, staff and visitors what data is collected and why. Limit directory visibility and set retention periods for visitor logs.

How to choose

  1. Name the primary problem: dues and audits (accounting-first) or security and deliveries (gate-first).
  2. Run a billing test: give each vendor your maintenance formula, interest rule and three sample flats with arrears.
  3. Stand at the gate during a demo: simulate peak delivery hour with your guards using the app.
  4. Get per-unit pricing in writing, including hardware, SMS and WhatsApp, payment gateway and annual escalation.
  5. Ask privacy questions: where data is hosted, whether the app is ad-free, who at the vendor can access resident data, and how deletion works.
  6. Check references from societies of similar size in your city.

Vendor demo script

Committee members are busy volunteers, so demos are often short and led by the vendor. Take control with a written script and sample data from your own society. Ask at least two committee members, ideally the treasurer and the security in-charge, to attend.

Scenario 1: Maintenance billing. Share three sample units: a 2BHK billed on carpet area, a shop billed at a flat rate, and a flat with a tenant and arrears carried from last year. Ask the vendor to:

  • Configure charge heads, including the sinking fund, repair fund, parking and non-occupancy charges where your bye-laws allow them.
  • Generate quarterly bills and apply interest on arrears according to your rule.
  • Collect a payment online and a cheque at the office, then issue receipts.
  • Show the member ledger, the defaulter list and the bank reconciliation.

Scenario 2: Year-end and audit. Ask for the income and expenditure account, balance sheet, member-wise outstanding statement and the registers your auditor asks for. Have your auditor review the sample output before you decide.

Scenario 3: Gate at peak hour. Simulate a morning with five delivery agents, two cab arrivals, a domestic helper and an unexpected visitor. The guard should process each in seconds, with resident approval for the unexpected visitor. Repeat with mobile data switched off to test offline mode.

Scenario 4: Complaints and vendors. Raise a lift breakdown ticket, assign it to the AMC vendor, escalate it after the SLA passes, and close it with a photo. Link the vendor invoice to the ticket and the expense ledger.

Scenario 5: Governance. Publish a notice, run a poll, share AGM minutes, and restrict a document to committee members only.

Scenario 6: Privacy settings. Show how a resident hides their phone number from the directory, how visitor photos are retained and deleted, who at the vendor can access society data, and whether the resident app shows advertising.

Questions for the security agency

Software fails if guards do not use it. Before go-live, agree with your security agency:

  1. Who is responsible for guard training and for the tablets at each gate?
  2. What happens if a guard lets a visitor in without an app entry?
  3. How are shift changes and guard attendance recorded?
  4. Who pays for replacement devices if they are lost or damaged?

Negotiation tips

  • Ask for a per-unit price locked for two or three years.
  • Separate hardware from software so you can replace either.
  • Get onboarding support for residents, such as a help desk at the clubhouse during launch week.
  • Insist on a written data-processing addendum and full data export at exit.
  • Pilot the gate module at one gate for two weeks before rolling out to all gates.

A disciplined demo usually shows within an hour whether a platform matches your society's real problems.
