Car dealers in India typically use two layers of technology: a dealer management system (DMS) that runs inventory, sales, finance and insurance, workshop service, parts and accounting, and online marketplace or dealer programmes (CarDekho's dealer solutions, CarWale dealer, Cars24 partners, Droom and similar) that bring buyer leads and, in some cases, buy or sell used cars. New-car franchise dealers usually run the DMS mandated or approved by their OEM. Independent used-car dealers have more freedom and often combine a portal subscription, a CRM and a workshop or inventory tool. Since the Ministry of Road Transport and Highways' December 2022 notification (G.S.R. 901(E)), dealers of registered (used) vehicles also need an authorisation certificate and must follow a defined process for vehicles in their possession, so document and compliance tracking has become a software requirement.

Market context

Automotive retail in India spans OEM-franchised new-car dealerships, multi-brand used-car dealers, and online platforms that list, auction or directly trade used cars. Vehicle registration data is managed through the Ministry of Road Transport and Highways' VAHAN system (VAHAN services). Dealers interact with it for registration, transfers and related services.

The most important recent regulatory change for used-car dealers is MoRTH's notification G.S.R. 901(E) dated 22 December 2022. According to the PIB release, it:

  1. Introduced "an authorization certificate for the dealers of registered vehicles" to identify authentic dealers.
  2. Detailed "the procedure for intimation of delivery of vehicle between the registered owner and the dealer".
  3. Clarified "the powers and responsibilities of a dealer in possession of registered vehicles".
  4. Empowered dealers "to apply for renewal of registration certificate/ renewal of certificate of fitness, duplicate registration certificate, NOC, transfer of ownership" of motor vehicles in their possession.

The ministry said the rules "will aid in recognizing and empowering intermediaries / dealers of registered vehicles as well as provide adequate safeguards against fraudulent activities" (PIB release on G.S.R. 901(E)).

For software, this creates document-tracking needs: authorisation certificate validity, owner intimation records for each vehicle taken into stock, and a log of registration-related applications. It also raises the importance of traffic-challan and insurance checks before purchase.

On the demand side, the main consumer portals (CarDekho, CarWale, Cars24, Droom) operate programmes for dealers. These range from paid listings and lead packages to used-car procurement and auction channels. They differ in whether they are primarily a lead source, a buyer of your inventory, or a competitor that sells directly to consumers.

How to choose

  1. Franchise dealer: start from the OEM's DMS requirements. Add CRM or used-car tools only where they integrate.
  2. Independent used-car dealer: choose a CRM or dealer software with portal lead capture, inventory ageing and document tracking, then trial portals.
  3. High-volume trader: evaluate dealer-to-dealer and auction platforms for remarketing aged stock.
  4. Ask every portal for a written commercial model and locality-level demand evidence.
  5. Test integration live: send a test enquiry from each portal and time how long it takes to reach an agent's phone through your CRM.
  6. Model gains in days-in-stock and captured leads, not in software features.

Vendor and portal demo script

Dealers often buy software or portal packages after a quick demo on the showroom floor. Use a structured script instead, with your own stock and last month's leads.

Scenario 1: Buying a used car. A seller brings in a five-year-old hatchback. Ask the system to:

  • Record the inspection with photos and a reconditioning estimate.
  • Capture the seller's documents and the details needed for the owner-to-dealer intimation process under the amended rules.
  • Flag pending challans or hypothecation through the vendor's data checks, if offered.
  • Calculate the landed cost after reconditioning and suggest a retail price.

Scenario 2: Listing and leads. Publish the car to two portals from the DMS or CRM, if supported. Then send test enquiries from each portal and time how long they take to reach the assigned salesperson's phone. Mark the car as booked and check whether the listings are withdrawn automatically.

Scenario 3: Sale with finance and insurance. Create a quotation, book the car with a token amount, submit a loan application to a finance partner, add insurance, and generate delivery documents. Confirm how GST is shown on the invoice according to the scheme your adviser recommends.

Scenario 4: Transfer of ownership. Track the application for transfer of ownership to the buyer, show pending documents, and send status updates to the buyer until completion.

Scenario 5: Workshop (franchise or multi-brand service). Open a job card, add parts from inventory, approve an additional repair with the customer on WhatsApp, close the job and send a service reminder schedule.

  • Reprice weekly based on ageing and enquiry volume.
  • Respond to every portal lead within minutes during business hours, and log the outcome.
  • Close RC transfers quickly and keep buyers updated, because delays damage reviews and referrals.
  • Review lead-source ROI monthly and move budget to channels that produce sales.
  • Keep compliance documents centrally, including the authorisation certificate and per-vehicle intimation records, so any authority request can be answered quickly.

Software cannot fix slow follow-up or poor stock selection. It makes both visible, which is what lets owners correct them.
