They pair it with an operations tool that tracks shipments, dockets or jobs. Pick an accounting core that handles GST, e-invoicing and multi-currency well, then check that it can take shipment-level charges from your operations system without anyone retyping them.

Why logistics billing is harder than ordinary invoicing

A shop sells an item at a price. A logistics business sells movement, and the price is built from many parts:

  • Freight charged by weight, volume or distance. Chargeable weight, slab rates and route-based tariffs all feed the invoice.
  • Pass-through charges. Customs duty, port handling, CFS charges and airline dues are often reimbursements, not income, and your books have to show them that way.
  • Job or shipment costing. Every consignment has its own costs (carrier, fuel, handling) and its own revenue. Profit per job is the number that matters.
  • Multi-currency. Forwarders bill overseas agents and pay foreign carriers, so exchange differences show up regularly.
  • GST complexity. Goods transport and freight forwarding have their own GST treatment, and e-invoicing applies above the turnover threshold. Many transporters also need e-way bills.
  • Volume. A courier company may raise thousands of docket-level charges a month and then consolidate them into monthly invoices for corporate accounts.

How to choose logistics accounting software

1. Decide what sits where

A freight forwarder usually needs two layers:

A small courier franchise can often run everything in one billing tool. A multi-branch forwarder handling imports and exports usually needs both layers, connected.

2. Check the must-have accounting features

  • GST invoices, credit notes and GSTR-ready reports
  • E-invoicing (IRN) if you are above the turnover threshold
  • Multi-currency invoices and bills, with forex gain/loss handling
  • Cost centres, projects or job tags so you can see profit per shipment or per customer
  • Consolidated or periodic billing for corporate accounts
  • Receivables ageing and payment reminders, because freight is usually sold on credit
  • Branch and multi-user access

3. Test the integration path

Ask how shipment data gets from your operations tool into accounting: an API, a scheduled import, or an Excel upload. If the answer is "re-key it", your billing team will stay the bottleneck.

4. Plan GST and e-way bills

TallyPrime

Tally's official buying page says both editions come with all features, including invoicing, accounting, inventory, GST compliance, banking and e-invoicing. Silver is single-user and Gold is multi-user. For a courier company with a billing clerk and an accountant, Gold is usually the realistic choice. Zoho Books

According to Zoho Books' Indian pricing page, Standard adds e-invoicing and payment reminders. Professional (₹1,499/month billed annually) adds multi-currency transactions, project profitability, retainers and custom workflows. For a forwarder billing overseas agents, Professional is the lowest plan worth shortlisting. Using projects to stand in for jobs gives you a simple per-shipment profit view. Firms that outsource bookkeeping may also like Zoho Books for CAs.

BUSY

BUSY's pricing page lists a free Express edition and paid BUSY Magic plans on 360-day subscriptions, with mobile app access included. It suits small transporters and courier franchises that want GST billing with minimal spend.

Odoo

Odoo includes Accounting, Inventory, Sales, CRM and Project in its paid plans. Custom adds Studio, multi-company support and API access, which matter if you want to build job-costing screens or connect a shipment system. For a larger logistics group, see ERP software for logistics.

Where operations platforms fit

Accounting software does not track shipments. For that layer, the catalogue lists tools such as Shipsy, ClickPost, Fleetx, Cogoport and Freightos. Their scope varies: some are courier-aggregation or last-mile tools and some are freight marketplaces. Check each vendor's official site to see whether it produces billable charge data you can export to your accounting core.

A practical setup by business size

  • Courier franchise or small transporter (1-3 billing users): BUSY or TallyPrime Silver, with a monthly consolidated invoice per corporate client.
  • Domestic 3PL or growing courier (multi-branch): TallyPrime Gold or Zoho Books Professional/Premium, plus a shipping or fleet tool that exports charges.
  • International freight forwarder: Zoho Books Professional or higher for multi-currency, or Odoo Custom if you need custom job files and API integration, connected to a forwarding operations system.

Implementation tips

  • Create separate ledgers for reimbursable charges (duty, port charges) so they do not inflate revenue.
  • Set up a cost centre or project per customer or per job from day one. You cannot rebuild it later.
  • Standardise charge codes (freight, fuel surcharge, handling, documentation) in both systems before you integrate.
  • Reconcile carrier bills against your job costs every month to catch under-billing.
  • Test e-invoicing and GST returns with your CA before going live.

What is the best billing software for a courier company in India?

Can Tally be used for freight forwarding accounting?

Yes. TallyPrime handles GST, e-invoicing, cost centres and multi-user access. What it lacks out of the box is job-file and shipment management, so forwarders usually add an operations system or a Tally add-on.

Does Zoho Books support multi-currency for forwarders?

Yes, from the Professional plan upward, according to Zoho's pricing page. The Free and Standard plans do not list multi-currency transactions.

How do I track profit per shipment?

Tag every revenue and cost entry with a job or project code, using cost centres in Tally or projects in Zoho Books. Better still, calculate job profit in your operations system and post the summary to accounting.

Do I need a separate e-way bill tool?
