Allotment and occupancy

Room allotment should handle blocks, floors, room types and capacity, preference or merit-based allocation, mid-year room changes, and vacancy reporting that is accurate enough to tell a prospective student whether a bed exists. Where allotment is by merit or category quota, the rules need to be in the system rather than in someone's head.

Mess billing without arguments

Mess charges are the most disputed line on a hostel bill. Institutions handle them in three ways: a flat monthly charge, a per-day charge based on mess attendance, or a coupon system. If you charge by attendance, the mess attendance capture has to be quick and reliable at peak meal times — usually an RFID or QR scan at the counter — and residents must be able to see their own count in the app before the bill arrives. Disputes collapse when the resident can see the data.

Gate register, leave and safety

• In-out entries captured at the gate, ideally by card or biometric rather than signature
• Leave applications with warden and parent approval, and expected return time
• Automatic alert when a resident has not returned by the approved time
• Visitor register with identity capture
• Night roll-call or attendance capture
• Parent-visible movement history where policy permits
• Complaint and maintenance tickets with resolution tracking

Integration with the main ERP

Hostel fee and mess charges should post to the same student fee ledger as academic fees, so a single dues statement is possible and reconciliation is not doubled. Resident records should read from the student master rather than being a separate list. Confirm both explicitly — standalone hostel products often require a parallel student list.
