Student Information System: The Record Everything Else Depends On

What the student record must hold

• A stable unique ID that never changes, even across class, campus or programme changes
• Identity and demographics, including fields your board or state department requires
• Guardians and siblings, linked so one parent login reaches all their children
• Admission details: date, class/programme, quota, category, RTE or scheme status
• Documents: birth certificate, previous TC, caste/income certificates, photographs
• Academic history across years, including detentions, backlogs and re-admissions
• Status lifecycle: enquiry, admitted, active, on leave, transferred, alumni
• Government identifiers: UDISE+ PEN, APAAR/ABC ID where applicable, Aadhaar reference if you are required to hold one

Migration is the real project

Nearly every failed education ERP go-live traces back to migration. The school hands over spreadsheets built over years by different people; names are spelled three ways, dates of birth are in two formats, and opening fee balances do not reconcile with the cash book. Agree in writing who cleans the data, what template the vendor needs, what the cut-off date is, and who signs off that the migrated opening balances match your books. Do a trial migration of one class and check it line by line before committing the rest.

Privacy obligations you now carry

Student data is personal data, and much of it belongs to children. Under India's Digital Personal Data Protection Act, institutions handling children's data have heightened obligations around consent and processing. Practically: know what the vendor stores and where, who among your staff can see documents and contact details, how long data is retained after a student leaves, and how you would export and delete on request. Put these in the contract rather than the brochure.
