School ERP System: What It Covers, What It Costs and How to Choose One in India

What a school ERP system actually includes

Vendors list thirty modules; schools use about ten. The ones that decide whether the system is adopted or abandoned are the ones touched daily by the front office, class teachers and parents. Treat everything else as a bonus, not a differentiator.

• Admissions and enquiry tracking — enquiry to application to admission, with follow-up reminders
• Student information — a single student record with siblings, categories, RTE status, documents
• Fee management — structures, concessions, instalments, fines, online payment and receipts
• Attendance — daily and period-wise, biometric or app-based, with absentee SMS to parents
• Timetable and substitution — automatic period allocation and daily teacher substitution
• Examination and report cards — CBSE/ICSE/state formats, grade rules, mark-sheet printing
• Transport — routes, stops, bus allotment, driver details and GPS tracking
• Library, hostel and inventory — issue/return, room allotment, stock and asset registers
• Communication — parent app, SMS, WhatsApp, circulars, homework and notices
• HR and payroll for staff — attendance, leave, salary, PF/ESI and Form 16

Where school ERP projects go wrong

Three failure patterns account for most abandoned implementations, and all three are visible before you sign. First, the fee module cannot express the school's real fee structure — sibling concessions, staff-ward waivers, term-wise transport slabs, late-fee rules that differ by class. Ask the vendor to configure your actual fee structure during the demo, not a sample one. Second, the report card does not match the board format, so the exam department keeps using Excel and the ERP becomes a data-entry duplicate. Third, nobody owns the data migration: last year's student master, outstanding balances and TC records arrive as a messy spreadsheet and the go-live slips past the admission season.

Pricing: what Indian schools actually pay

School ERP in India is usually priced per student per year, with a one-time setup and training charge and optional add-ons for SMS credits, the parent app, biometric integration and GPS. Cloud products are the norm; on-premise installs still exist for schools with poor connectivity or a policy preference, and they shift cost to a server and an AMC. Budget separately for payment-gateway charges on online fee collection, which are a percentage of the amount collected and are sometimes passed on to parents as a convenience fee. Always check what the renewal price is after year one — introductory pricing that doubles at renewal is common.

Board and compliance fit

A CBSE school needs report cards in the CBSE scholastic and co-scholastic format, the ability to produce registers for affiliation inspections, and UDISE+ data export. ICSE and IB schools have their own assessment structures. State-board schools often need regional-language name fields, government scheme categories and formats specific to that state's education department. Ask the vendor which boards their existing customers use and ask to speak to one of those schools directly.

Parent communication is what parents judge you on

For parents, the ERP is the app. If the app is slow, logs them out, or shows last term's fee receipt, the school hears about it. Look at the parent app on a real phone during the demo — not a screen-share of the admin panel. Check that a parent with three children sees all three, that fee payment works end to end, that homework and circulars push a notification, and that the app works on a mid-range Android phone on a 4G connection.
